Events Coordinator
Starting at $21/hr + commissions

Reporting to the Sales Director, the incumbent will contribute to market development, sell over the phone and in person, and plan, organize and control corporate and private events in collaboration with customers and colleagues.

- Excellent customer service;
- Maintains excellent collaboration with co-workers;
- Last-minute wedding, private and corporate sales and walk-ins when a representative is not available;
- Ensures sufficient resources versus room plans;
- Ensures that information on all events organized by the sales department is passed on to the appropriate departments;
- Enter new items in the operating system or make changes;
- Organizes and plans rooms for corporate events and various occasions throughout the year (Valentine's Day, Easter, Mother's Day, Father's Day, Halloween, Christmas, etc.);
- Attendance at tasting evenings (choice of dishes, reservations, etc.);
- Inform guests about hotel regulations and services;
- Weekly printouts for function meetings: function orders for catering, reception; floor plans, kitchen orders. Summary of functions and income per day for the kitchen;
- Responds to customer requests and/or orders by telephone, in person or by e-mail;
- Sends floor plans and contracts to suppliers and follows up;
- Manages corporate, private and wedding events in collaboration with the executive chef and catering;
- Receives customers and gives tours of the establishment when necessary;
- Answers customers' questions;
- Identifies customer needs (room, menu, etc.) and acts as an advisor;
- Routes menus to customers and assists them in their choices, validating food allergies, intolerances and restrictions with them. Menu for suppliers if necessary;
- Communicates with customers after the sale or signing of contracts, to resolve any problems and ensure follow-up;
- If necessary, assist customers with audio-visual, decoration, etc. tests prior to the event;
- Follows up on required deposits and ensures final payment;
- Conducts final follow-ups to ensure that the event meets the customer's requirements;
- Keeps abreast of products and services on the market to better meet customer needs;
- Enter all charges to appear on the room invoice into the computer system and make any necessary corrections;
- Be present at events and ensure that all details are confirmed to customer requests;
- Ensures compliance with health and safety standards;
- Other related tasks.

Required training and experience
- DEC in tourism or hotel management or equivalent experience;
- 2 years' experience in customer service and sales;
- Event management: 1 year (Desirable);
- Bilingual in English and French.
